The Office of Vital Statistics receives and preserves vital records for events (births, deaths, marriages, and divorces) which occur in Kansas.

The Office maintains more than 10 million vital records, adding approximately 100,000 new records annually. Over 360,000 certified copies of these records are issued to eligible requestors annually.

Remarks: All requests must include a non-expired copy of Government or State-issued Photo ID and signature of the person requesting the certificate.

How to obtain a certified copy:

By Phone - Call (785) 296-3253 between 8:00 a.m. and 4:00 p.m. Central Time weekdays. Within 3 to 5 business days after receipt in our office;

By Regular Mail - Send request by regular mail. Payment made by check or money order. Dependent upon current request volume - 5 to 10 business days;

By Priority Mail - Send by any type of priority mail service. Payment made by check or money order. Within 3 to 5 business days after receipt in our office;

Walk-In - Around 15 - 20 minutes provided there is no difficulty in locating the record;

VitalCheck - Secured online applications to request for vital records, which accepts all major credit card payments, can be made through VitalCheck with an additional charge for their service.

State law also specifies that the initial $15.00 fee for a certified birth certificate copy is a five-year record search fee - one certified copy is issued if the record is found and if not found, the fee is retained.

You will receive either the certified copy or a letter explaining the search conducted and that no record was located.

Apostilles and Authentications

A specific format of an authentication certificate that is required by certain countries is called Apostille. This kind of certificate can only be requested from the Secretary of State's office.

Remarks: It is important to specify which foreign country is involved, so this Office can determine if an Apostille or "regular" Authentication is necessary. Use of the wrong certificate can cause a document to be rejected by the foreign country.

How to Amend Death Certificates

An amendment to the medical certification may be made at any time. Requests to amend the medical certification data may be made only by the attending physician who signed the medical certification on the original certificate or by the coroner in whose jurisdiction the death occurred.

Completed marriage licenses are first filed with the County Clerk of the District Court in the county where the marriage license was issued.

The District Courts then forward the completed licenses once a month to the Office of Vital Statistics. Certified copies from this office are usually available by the second month after the marriage takes place.

Remarks: Certified copies of marriage certificates are not available from the State Health Department. They are available from the Clerks of the Circuit Court in the county where the marriage was granted.

The divorce certificate is completed by the plaintiff's attorney and contains only basic information - names of husband and wife, date of marriage, date of divorce, etc. Certified copies of divorce decrees are obtained from the Clerk of the District Court in the county where the divorce was filed.
